The problem: a front desk that couldn't face forward
Every clinic knows the arithmetic. Appointments only earn revenue when patients show up; patients show up when they're reminded, confirmed, and easy to reschedule; and all of that traditionally runs on a front desk making calls between everything else it does. At Rao Dental Clinic that meant hours of daily phone tag — voicemails, callbacks, double-bookings — while patients at the counter waited for attention.
The no-shows themselves were the visible cost. The invisible one was where staff energy went: the most patient-facing role in the clinic spent most of its day facing a telephone.
What we built
An automation system wrapped around the clinic's existing scheduling workflow — not a replacement the staff would have to fight, but a layer that quietly did the repetitive parts:
- Automated confirmations and reminders across the patient's preferred channel, timed where they actually move the needle rather than blasted on a fixed schedule.
- Self-service rescheduling — a missed slot becomes a rebooked slot without a callback loop, and freed slots return to availability immediately.
- Follow-up sequences for post-visit care and recalls, so the "we should really call them back" list stopped depending on someone finding a free minute.
- A human-in-the-loop console — the front desk sees everything the system does and can step in on any conversation; edge cases route to a person by design.

Why it worked
